Taskmaster are currently seeking an Admin Assistant / Receptionist for an NHS client in the BD9 area.
Hours of Work: 36 hours per week, Monday to Friday.
Duration: 4 weeks initially, with scope for extension.
JOB SUMMARY
The Administration Assistant / Receptionist will provide an efficient, effective and high quality administrative support to health and social care professionals and service users/patients within a community based or district wide team.
MAIN DUTIES & RESPONSIBILITIES
The role will report to an Administration Team Supervisor, who has responsibility for a team of 10 - 15 staff within an administrative hub. The administrative assistant will provide support to:
- A defined community based service (locality or district wide in nature)
- Trust switchboard services
- Trust reception support at designated sites.
The major job responsibilities for each area are defined below. The Trust will ensure teams are multi-skilled throughout each function to ensure that transferrable skills are gained by the administrators to maximise business support and for career development. Employees will be able to transfer across areas to develop their skill base subject to vacancy availability within the administrative function.
Major job responsibilities for this role include:
Defined community based teams:
Delivery of clerical support to a range of identified clinical services (locality or district wide in nature) to defined standard operating procedures and quality standards including:
- Capturing and inputting of data onto relevant clinical systems
- Undertaking planned work activities such as health campaigns and clinics as identified by the Admin Team Supervisor
- Communication with clinicians and health professionals using relevant e-technologies (Lync, Tasking, telephony) and dealing with telephony queries from members of the public, GP's and other healthcare professionals
- Prioritising and managing own workload using the workflow management system to respond to work activities, customer queries, responding to correspondence
- Updating of clinical appointments for allocated teams
- Records management including collection, collation, checking, scanning, data retrieval liaising with other departments to retrieve files and data
- Undertaking ad-hoc requests from the workflow management system, such as photocopying, collation of information on behalf of clinical teams.
Trust Reception and Switchboard Administration Assistants:
- Providing telephony service to Trust wide services and ensuring the calls are routed to the relevant service and department
- Dealing with telephone and personal enquiries from members of the public, GPs and other healthcare professionals. Provide non-clinical information and advice to patients and relatives within the boundaries of the role
- Undertaking reception and front of house duties as designated sites
- Book rooms across the Trust as requested through the booking system
- Dealing with incoming correspondence, logging to relevant administration team / department
- Waste collection paperwork relating to Trust compliance with section 34 of the 1990 Environmental Protection Act and the 1991 Duty of Care Regulations. Your job role may require you to sign statutory waste collection paperwork [called a Consignment Note] which will be presented for signing by a waste company lorry driver when a clinical waste collection has occurred. Your brief will include undertaking a simple check of the paperwork before signing it and temporarily safely keeping the Trust copies for the Admin Hub manager.
