Description

Taskmaster are currently seeking a Communications Assistant for an NHS client in the BD20 area.

Hours of Work: 37.5 hours per week, Monday to Friday.

Duration: 3 months initially, with scope for extension.

JOB SUMMARY

Support the Communications Team with the development of social media, electronic and web-based communications - the intranet and internet. This will be alongside a range of activities to provide an effective internal/external communications service for the Trust.

MAIN DUTIES AND RESPONSIBILTIES

  • Act as web developer for the Trust website. Develop, update and manage the content of the Trust website. Liaise with different teams to provide appropriate content for their services.
  • Act as a central point for handling enquiries and requests from colleagues about the website.
  • Develop the Communications Team's section of the Trust's new intranet and be responsible for keeping it up to date.
  • Update and monitor the Trust social media accounts including a corporate Twitter account and Facebook, support teams in developing their own when necessary.
  • Compile/edit/publish a weekly email bulletin for staff, including re-evaluating its use.
  • Help compile a monthly brief which can be used by managers to keep their team up-to-date.
  • Help to develop/operate an effective media evaluation service, providing reports for board members, non-executives and other audiences; help to log media calls making sure that they have been answered appropriately.
  • Be a point of contact for media enquiries including on sensitive, confidential issues. Consult with the Communications Manager to ensure a prompt response and provide information to help deal with them.
  • Support Communications Managers in researching, drafting, preparing and distributing press releases, promoting the hospital's initiatives and activities or statements for local, national and specialist media.
  • Manage a press cuttings service for the Communications Team.
  • Develop and maintain a central photographic library.
  • Provide support for communications/research projects amongst internal and external audiences and analyse results.
  • Make sure that all web content complies with accessibility, corporate and NHS identity standards and quality assurance.
  • Implement new designs and templates for the website.
  • Review home page content of the website on a regular basis, using analytics to help determine what to include on the home page.
  • Use and knowledge of additional software, including design software, to support both the website and other communications tools such as screensavers for example Adobe Fireworks, Adobe Photoshop, Adobe Dreamweaver and Word Press.
  • Write, contribute to, edit and proofread publications, such as the staff newsletter, GP newsletter and annual record, for both internal and external audiences. Support Communications Manager on editorial decisions, design and layout.
  • Proofread publications before print.
  • Interview staff and members of the public for press releases/news articles.
  • Direct or deal effectively with urgent and non-urgent messages for the Communications Managers.
  • Update Executive Team in Communications Manager's absence of any issues or upcoming events that may affect the Trust.
  • Support Communications Managers in recording data such as number of media enquiries and press releases produced.
  • Creating and maintaining databases of local, regional and national media contacts.
  • Maintain a log of Twitter feedback from patients/public and pass any compliments/concerns to appropriate teams/services.
  • Support Communications Manager on social media campaigns and other teams/services as appropriate.
  • Provide advice and support to teams wanting to use social media.
  • Support Communications Managers to manage budgets and invoices.
  • Act as a liaison point between Communications, Supplies and Finance teams.
  • Attend a monthly budget meeting and put together end of year accruals for Finance.
  • Complete non-stock requisitions as needed.
  • Organise and order travel as required.
  • Order and maintain stocks of stationery.
  • Organise appointments and arrange meetings for Communications Managers as required.
  • Attend a regular communications exchange meeting to liaise with other staff across the Trust on communications activity.
  • Create and maintain accurate distribution lists for staff, partners and relevant organisations.
  • Keep staff notice boards updated with appropriate information.
  • Responsible for managing own specific communications projects and work using own initiative.
  • Liaise with external photographers and teams to set up photo calls and accompany photographer to photo calls, collecting correct consent from the individuals.
  • Provide support with organising events, openings, talks, community events and VIP visits by promoting the event, providing help setting up on the day etc.
  • Carrying out a variety of administrative duties such as maintaining filing systems and writing letters to support Communications Managers.
  • Write minutes for relevant meetings.

Recent graduates of Communications Studies or similar subjects would be particularly welcome.
