Taskmaster are currently seeking a Receptionist for an NHS client in the BD18 area.
Hours of Work: 37.5 hours per week, Monday to Friday, 09:00-17:00.
Duration: 4 weeks initially, with scope for extension.
JOB SUMMARY
To support the running of the administration function of the Service by maintaining accurate systems, supporting service developments and undertaking general office duties. The post holder's main responsibilities are to:
- Meet, greet and administer the attendance of outpatients attending for clinic appointments.
- Deal with telephone enquiries from patients, the public, staff and other health and social service departments.
- Competent use on SystmOne to facilitate the administration of patients, ensuring referrals are received and actioned promptly.
- Be competent in the use of Microsoft Office packages e.g. Word, Excel, Outlook.
MAIN DUTIES & RESPONSIBILITIES
Communication
- Deal with difficult telephone calls tactfully and sensitively, take messages and carry through any necessary actions.
- Take account of the particular communication needs of individuals and groups in order to overcome communication barriers.
- Use good customer care skills in your interactions with the public, colleagues and other health care professionals.
Service Administration
- Participate in the local administration of patient administration systems e.g. SystmOne. This may include registering, appointment management, and generation of letters and discharging of patients under the supervision of the Reception Coordinator.
- Scanning of patient information onto SystmOne.
- Take responsibility and monitor the patient self-arrival process.
- To undertake the order of stationery and monitor stock levels
- Organise transports for patients attending clinic if they meet the department criteria.
- Take responsibility of incoming post, photocopying, filing and general administration duties within the office area.
- Type letters, reports and other correspondence.
- Provide cover during team absence.
- Be prepared to work flexibly in terms of time and workload according to the needs of the service (this may include working outside of traditional office hours).
