- Description
A fantastic opportunity has arisen for a senior Administrator/Secretary to join an award winning acute hospital Trust in an admin support function. If you are seeking a new opportunity and wish to work in an NHS environment, then this could be the opportunity for you.
MAIN DUTIES AND RESPONSIBILITIES
- To be responsible for the secretarial support to the Heads of Service and Senior Managers including dealing with telephone enquiries, undertaking typing, note taking, printing and photocopying documents and prioritising and distributing mail.
- Diary management, organisation of meetings and management of agendas. Maintenance of filing and bring forward systems. Development and appropriate office and business management as required.
- To develop sufficient understanding of the areas of responsibility covered by the line managers in order to be an efficient and independent team member.
- Attending meetings as appropriate with the line managers in order to take minutes and to provide office support as required.
- To create and maintain databases and spreadsheets for each section within Supplies in relation to the Department's Strategic Plans.
- Implement secretarial policies and propose changed to working practices for own work area.
- To develop and maintain an effective communication link with the Directors and Senior Managers Personal Assistants (PAs) to ensure a smooth flow of communication for appointments, diary, etc.
- Ensures records of correspondence etc. are fully maintained, including maintenance of the pending system in use in the Department. Responsible for preparing and maintaining other general files as required.
- Receives and welcomes visitors into the department, maintaining a visitors log book.
- Any other duties which may arise from time to time in ensuring provision of an efficient and effective service.
Hours of work for this post will be 37.5hours a week; 9am-5pm Monday to Thursday and 08:30am-4:30pm on Fridays. Although this post commences in a non-permanent capacity (3-6 months duration) for the right candidate this could lead to further opportunities.
